Administrator cum Receptionist
Consultant Managers
� �What You’ll Do
Admin/ Operation (50%)
-
Track and manage office supplies, beverages, tissues, and place monthly orders
-
Inspect, organize, and maintain cleanliness in the pantry area and office spaces.
-
Regularly control and inventory company's shared assets. Plan and maintain old or damaged equipment.
-
Collaborate with building management when support is needed.
-
Track monthly parking expenses for interns, prepare reports to send to OM.
-
In charge of cleaning the tables and boards in the 'Big Thinking' meeting room and CEO’s room every weekday, except Friday.
-
Assist team members in printing name cards, books on birthdays.
-
Support OM in planning and organizing events throughout the year at the company (YEP, Happy hours….)
-
Organize documents, invoices, assist OM in preparing monthly/quarterly reports.
-
Monitor the process of sending and receiving contracts. Update the contract status in company’s system.
-
Other tasks as assigned by OM.
HR (30%)
-
Export timesheet on timekeeping.
-
Collect personal information of new employees and prepare office supplies, set up fingerprint for employees.
-
Collect personal documents from new joiners and update them in the Tracking file.
-
Take avatar photos and prepare employee ID cards, instruct new individuals on updating their information in the internal system.

Support the company and teams in recruitment posting and CV collection.
-
Phone screen, check and schedule interviews with candidates.
-
Support CEO & OM Format CV, Candidates input, Client's input, Client's contact input in system setup.
Media (10%)
-
Archive images and videos of company activities.
-
Assist OM in designing content for company activities.
-
Design/edit images and videos for recruitment, social media, standees, backdrops. Receptionist (10%)

Reception and guidance for clients visiting the company.
-
Receive and process incoming and outgoing documents, letters, and official correspondence.
-
Prepare logistics for company meetings and events. Other duties as assigned by management.

Handle incoming calls and transfer them to the appropriate resolving department.
????What You Need

High school graduated or University graduated.

Appearcance requirements.
-
Excellent communication and interpersonal skills.

Good English, computer literacy
-
Having experience in administration or similar positions is a plus.
-
Proactively organize tasks and report on progress completion. Work with precision and attention to detail.

Able to work independently, with a high sense of responsibility.
-
Self-driven, self-motivated to succeed. Customer service orientated.
