Key responsibilities:

Answer phone calls, direct phone calls, respond to inquiries.
Meet and greet visitors.
Perform general clerical duties to include but not limited to: photocopying, faxing, mailing and filing.
Sort and distribute incoming mail to staff within the organization and prepare and dispatch outgoing local/overseas packages.
Calling for repairs and maintaining equipment inventories.
Manage the inventory and procurement of office suppliers (stationery, pantry items etc).
Setup Directors and mangers travel arrangements.
Provide a secretarial support to directors.
Make accommodation arrangements for overseas staff and visitors,
Assist other staff in the organization with their enquiries and handle new staff logistics.
Compile and submit monthly annual leave, medical leave and staff time attendance records.
Process expense claims/reimbursements.
Scan all invoices and receipts and deposit into Finance Department folders.
Maintain inventory.
Perform other duties as assigned.

Additional responsibilities:

Any reasonable task assigned by management and deemed to be within the individuals’ capabilities to ensure smooth running of the business.
As this is an evolving business, ongoing change is an integral part of the position. Management will liaise with the individual on any fundamental change to work practices. The individual is required to embrace and adopt any change to working practices
