Job Description:

Responsibility

  • Answer phones, take messages and pass all to recipients.
  • Welcome guestsand liaise with related departments to ensure guests are promptly received and aware of company safety requirements.  
  • Distribute incoming mail, handle outgoing mail, prepare for courier services
  • Maintain orderly appearance of the reception, boardroom, meeting room and offices, including ordering ofreplacement supplies
  • Interpret Vietnamese/Chines- English for General Director when needed, verbal and written, translate documents.
  • Assist General Director in writing speeches, announcements as well as company letters to send out.File and arrange the posting of announcements and documents in the company.
  • Take minutes of management meetings and other company meetings when required.
  • Control itineraryof vehicles, ensure they are operational, obtain periodical safety checks and are insured.
  • Production of proposals, reports and meeting materials and data tracking
  • Data entry into related databases when required.
  • Organize and manage conference calls
  • Make travel arrangements, domestic and overseas.
  • Manage subscriptions, including legal update (order and maintain subscriptions list)
  • Manage internal lists (phone/rate cards, distribution list, birthdays, etc.)
  • Contact customers, as required on behaft of GD
  • Project and administration filing
  • Organization social, company activities, including year-end parties
  • Schedule meetings and interviews with clients and other external parties
  • Contracts with hotels (meeting rooms, menus, audio visual, accommodation)
  • Coordinate with relevant departments on legal matters and liaise with external government officers and customs on behalf of General Director. 
  • Adherence to company policies and procedures

Qualification and Key Skills:

  • University degree in relevant discipline
  • At least 6years experience in administration.
  • Vietnamese, English and Mandarin fluency.
  • Good organization and prioritization of work and archives
  • Good skills for office computer applications
  • Carefulness, considerateness and patience.
  • Excellent time management and organisational skills
  • Excellent attention to detail
  • Excellent software program skills, Excel, Powerpoint, Word, Database or similar
  • Good interpersonal skills
  • Ability to work independently and as part of a team
  • Ability to follow instructions and be proactive when facing issues.
