Job Description:
  • Assume the responsibility of planning, organizing and executing any project set forth by the COO with the ability to execute on given deadlines and with high level of accuracy.
  • Effectively communicate and collaborate with management and department members to create smooth and efficient workflows for the COO; maintaining follow-through and timely action to ensure they meet deadlines, set forth by the COO, in an efficient and timely manner.
  • Work efficiently and effectively in a fast-paced. Remain neutral and extremely professional in presence with a strong customer service focus and high level of discretion with confidential information.
  • Track COO’s tasks and projects to ensure appropriate prioritization of projects with respect to deadlines and organizational developments. Lead or participate on project teams related to a range of operational matters.
  • Maintain an accurate and detailed calendar for COO, manage COO’s scheduling, communication and travel coordination.
  • Organize internal and external meeting for COO, take notes and follow up action items related to such meetings.
  • Check detail of documents that submit to COO for signing. Manage deliverables to the COO and provide any necessary reporting.
  • Preparing, writing, and collating departmental reports, managing an extremely active calendar of appointments, completing expense/ budget reports and other report as required.
  • Develop and maintain appropriate document filing systems, and ensure compliance with records retention procedures.
  • Manage corporate registration documents, lobbying registration forms, and contracts database.
  • Develop relationships with key operational contacts, both internal and external.
  • Other duties as assigned by the COO.
  • Inter relationship: All departments.
  • Outer relationship: Tax department, Bank, Statistics department, Suppliers....

Requirements:

  • Knowledge and education level:
  • Graduate from University, finance major.
  • Skills: Good at MS Office skills, strong fluency with Excel formulas and functions as well as proficient in English.
  • Experience: More than 5 years experience.
  • Have knowledge in HR and Finance fields.
  • Good knowledge on the Collective Labour Agreement, company regulations and maintain secrecy on issues related to Map.
  • Ensure confidentiality at all times (this position will have access to highly confidential information)
