Job Description:

I- Position Purpose

  1. Reporting directly to the Head of Hoperations (HoH), the Executive Assistant provides executive administration and development support to the HoH and Board Members.
  2. The Executive Assistant serves as the primary point of contact for internal and external communication on all matters pertaining to the HoH.

II- Scope

Executive Support

  1. Assists the HoH with daily administrative duties and completes a broad variety of administrative tasks that include:
    • managing an active calendar of appointments;
    • completing expense reports;
    • composing and preparing correspondence and documents;
    • arranging detailed travel plans,
    • itineraries and agendas; and
    • compiling documents for meetings.
  2. Communicates with staff members on the HoH’s behalf and coordinates logistics for meetings both internally and externally.
  3. Communicates directly and on behalf of the HoH with Board members.
  4. Conducts research and assembles materials on behalf of the HoH.
  5. Drafts reports, emails, and any other documents required by the HoH.
  6. Supports the HoH in his external commitments related to Beverages Group of Companies, including service on external boards, committees, and other groups.

HR Support

  1. Administratively supports the HoH with all human resource duties (recruiting support, document formatting, surveys set up and other administrative tasks), drafts emails and other related correspondence as directed.

Board Support and Liaison

  1. Serves as the HoH’s administrative liaison to the Board and manages Board activities, which include coordinating Board meetings, processing Board and HoH reimbursement requests; and compiling, assembling, and distributing Board meeting materials.
  2. Coordinates and maintains confidential files and contact information; coordinates meetings both on and off-site to support the HoH’s agenda.

Management Liaison

  1. Participates as an adjunct member of the senior management team including assisting in scheduling and attending meetings. Represents the HoH in designated meetings as required.
  2. Assists in coordinating the agenda of senior management team meetings. Prepares minutes of the meetings and follows up on assigned action items.

Secondary Responsibilities:

  1. Performs other duties as assigned by the HoH

Accountabilities

  1. Position reports directly to the HoH.
  2. Works directly with the Board of Directors.
  3. Works directly with senior level staff and HR.

Working Conditions:

  1. The position is located in a head office in HCMC.
  2. Occasional travel may be involved.

Salary and Benefits:

  1. Salary is commensurate with qualifications and experience.

III- Requirement

  • Bachelor’s degree or equivalent and an interest in great tasting craft beer.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Minimum 5 years providing support for upper-level management
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external parties.
  • Ability to learn new software.
  • Ability to conduct research and present data in a succinct and well-written manner.
  • Ability to work independently and with professional discretion.
  • Excellent writing, editing, grammatical, organizational, and research skills.
  • Ability to work with a broad range of people including Board members, senior staff, customers and industry peers of the HoH.
  • Knowledge of other languages and international customs is an asset but not essential;
  • Excellent management, time-management, and problem-solving skills.
  • Occasional travel may be involved.
  • Proficiency in Windows, including MS Word, Excel and PowerPoint;
  • Proficiency in English.
