Job Description:

Administrative Assistant holds a key role of information exchange among parties of internal staff, accounts, banks, customers, vendors and Government agencies. The administrative purpose of this role to banking, accounting and different documents for meeting statutory requirements of Vietnam. As a member of Sales department, your report would be presented to Development Director.

1. Responsibilities

  • Manage and coordinate invoices to customers and E-Invoices to Government
  • Assist the Development Director in meeting requirements of both accounting and reporting 
  • Understand local business relevant legislations
  • Assist with all monthly legal, accounting, payroll and banking requirements
  • Assist with the management of debtors and creditors
  • Assist with import/export documentation
  • Assist with purchasing and marketing requirements
  • Develop and maintain effective networks with customers, suppliers (including logistics companies, Import/Export), banking, accounting and auditors to achieve role objectives
  • Confidently use NetSuite and Microsoft Office Programs.
  • Put data into Netsuite and manage Basic Bookkeeping
  • Scan and file all documents
  • Work independently by setting priorities, planning workload and meeting deadlines for month end reporting requirements

3. Role Criteria

Essential to have:

  • Excellent communication skills, both written and verbal in English and Vietnamese.
  • Minimum 3 years experience in an administrative role.
  • Demonstrated experience and aptitude for accounting and banking principles and procedures.
  • Excellent skills and proficiency in Microsoft Office programs.
  • Ability to liaise with Customers, Suppliers, Banking and Accounting personnel to ensure timely processing of documents.
  • Excellent organisational skills with ability to meet deadlines.
  • Capable of working independently

Desirable to have:

  • Experience with overseas vendor payments.
  • Experience with processing documents for imported products.
  • Translation between English and Vietnamese.
  • Experience with CRM and ERP systems.
  • Digital Marketing experience
